Set up and manage the students and volunteers lounges

The YES brings together hundreds of people from around the world. It’s a perfect opportunity to foster a sense of community by sparking that unmistakable YFU spirit. While much of this happens naturally, we always need to help that a little by taking it to the next level. That’s why we need a dedicated Community Team. They are the ones who help make the magic happen. This team, led by the Head of Community, includes two Lounge Coordinators and two Spirit Coordinators (previously known as Community Coordinators).

We’re looking for two fantastic volunteers to take charge of two separate lounges at the YES – the YES Lounge and the Volunteers’ Lounge. Do you have ideas for transforming a simple gym room into a cosy evening hangout where students and volunteers can relax and connect? About your role

The YES Lounge

Before students arrive, you will set up and decorate the YES Lounge, prepare it for opening, and take care of the outdoor area. Your responsibilities include ordering drinks in advance, purchasing snacks, calculating demand, handling finances, and tracking inventory and accounting.

During the event, the YES Lounge will be open in the evenings, after the official program has ended. You will run the bar, play music (unless you find a DJ-volunteer), clean up, and prepare the lounge for the next day. At the end of the YES, you will help dismantle the lounge area and manage returns of the remaining drinks. Since your role involves selling drinks, you will also monitor students and volunteers, using sound judgment to prevent inappropriate or unsafe situations due to excessive consumption. You will collaborate closely with other volunteers, including the Head of Community - Kinga, the Security Team and the YES Doctor, as needed.

Volunteers’ Lounge

You will also manage the Volunteers’ Lounge, located at the entrance of the Family House, where most volunteers sleep. Your responsibilities include planning for and stocking the lounge with snacks and beverages throughout the day and night, and ensuring the area is clean, organized, and welcoming. This doesn’t mean you’ll clean up after everyone personally, but you will make sure a system is in place and followed to maintain the space. 

You will also coordinate with the Spirit Coordinators to decorate the lounge and add creative touches, making it an inviting space where volunteers can relax, socialize, and enjoy their downtime.

Please note that completing the Volunteer Feedback Form after YES 2026 is a requirement for every volunteer role. Your feedback helps us improve and create an even better experience next year.
 

Your tasks

In addition to the general volunteer requirements at the YES, you should:

  • have experience with working in a bar and/or fast-paced environments in general 

  • feel comfortable with managing money and keeping accountancy

  • be creative, e.g. come up with unconventional Lounge products, which could enhance the budget of the Lounge 

  • feel comfortable in negotiating deals and bulk orders with beverage providers

  • be interested in developing and overseeing the process for supervising two Lounges, ensuring they are clean and well-stocked at all times

  • at least one YES Lounge Coordinator needs to have a good command of German since you will need to place the drinks orders and coordinate those with a local company.
